Fresh Potato Export Documents From China: A Buyer’s Checklist

Importing fresh potatoes is not only a price and freight decision. Buyers should confirm the documents required by the destination market before a supplier prepares the shipment. This checklist explains the documents commonly used for fresh potato exports from China and the questions to confirm before booking a container.

  1. Start with the destination-market requirements

Import rules differ by country and can change by season. Before placing an order, ask your customs broker or local plant-health authority which documents, inspections, lab tests, labelling rules and import permits apply. A supplier can prepare export documents, but the buyer should confirm the rules that apply at destination.

  1. Commercial invoice

The commercial invoice normally identifies the seller, buyer, product description, quantity, unit price, total value, Incoterm, payment terms and country of origin. Make sure the product name, packaging description and quantity match the purchase contract and packing list.

  1. Packing list

A packing list helps the buyer, carrier and customs authorities understand how the potatoes are packed. It may include the number of bags or cartons, net and gross weight, package type, size range, lot details and container information. Agree the packaging and size requirement before production starts.

  1. Phytosanitary certificate

Fresh potatoes are plant products, so many destinations require a phytosanitary certificate issued by the competent plant-health authority. The certificate confirms that the shipment has been inspected under the applicable export process. Whether it is required, and any extra declarations needed, depends on the destination market.

  1. Certificate of origin and other destination documents

Some buyers require a certificate of origin for customs clearance or tariff treatment. Depending on the destination, buyers may also request an inspection certificate, fumigation-related records where applicable, or an import permit reference. Do not assume one document set works for every country.

  1. Bill of lading and shipping details

After the container is loaded, the carrier issues a bill of lading. Confirm the consignee name, notify party, port of discharge, container number and original-document or telex-release instructions early. Small errors can delay clearance at destination.

  1. Keep specifications aligned with the documents

Your contract, invoice, packing list and shipping instructions should tell the same story: potato type, grade, size range, packaging, net weight, destination and Incoterm. A clear written specification helps prevent disputes after arrival.
